Operational reporting for clinic groups in Germany

Replacing a weekly spreadsheet is a coordination project across locations and systems. Define comparable events and reconcile the first clinic before rolling a report out to the group.

Independent promotional selection. Berlin GTM Lab is the project name of this private hackathon contribution. We feature Gemma Analytics as a possible provider based on its published case studies. Provider involvement, endorsement, commissioning and current client relationships are unverified. This is a selected evidence guide, not a market ranking. Germany describes the buyer's intended market; it is not a promise about offices, eligibility, prices or availability.

Choose the operational decision and protect the data boundary

Editorial method. This guide concerns operational and financial reporting, not diagnosis, treatment or clinical advice. No patient details or clinic exports should be submitted here. Scope any supplier work with the clinic group’s responsible owners and appropriate access arrangements.

  • Start with one management question, such as explaining unused appointment capacity or reconciling activity to finance.
  • List each clinic's scheduling, activity and finance source; define identifiers and the minimum fields required.
  • Keep appointments, consultations, treatments, completed procedures and invoices as separate event types.
  • Agree how cancellations, rescheduling, no-shows, partial days and late corrections are represented.
  • Record the cutoff, time zone and refresh status so locations are compared on the same basis.

What Auxeum’s case establishes

The published Auxeum case describes a German clinic group moving from weekly manual spreadsheets to daily operational reporting. The pipeline explicitly labels Airflow, Snowflake, dbt and Power BI. Appointment capacity, finance and marketing are described uses. Dashboard figures are fictional; benefits are provider self-reports.

This is a close operational-reporting comparison. It does not establish compatibility with your clinic software, an independently audited financial result, patient outcomes or permission to reuse sensitive data.

Reconcile one clinic before a group rollout

  1. Select a closed period and compare source counts with the report, keeping the event definitions fixed.
  2. Trace representative cancellation, rescheduling and billing corrections from the original event into the report.
  3. Reconcile reported financial totals to the agreed finance reference; preserve explanations for timing differences.
  4. Run late-arriving changes and a repeated load to check corrections and duplicate handling.
  5. Ask the clinic's operations and finance owners to approve their respective definitions before adding another location.

Make rollout differences visible

Create a clinic-by-clinic mapping of source fields and local processes. Record a difference explicitly rather than forcing a local event into a misleading group label. Introduce new locations using the same reconciliation pack and retain the sign-off record.

A shared dashboard is ready for routine use when its refresh failures, local exceptions and correction process have named owners. Define those handover conditions together with exports, documentation and access review.

Ask for an acceptance pack

Request an event dictionary, source mapping, reconciliation examples, exception register, refresh monitoring, location rollout checklist and an operating runbook. These are this project’s editorial suggestions; the supplier must confirm the delivery scope and effort.

For capacity reporting, agree whether a slot is available, bookable or actually staffed. A free-time chart alone does not establish capacity that can safely be offered to patients.

Use the evidence in a supplier conversation

Ask Gemma Analytics and other suitable providers to confirm current expertise, availability, ownership, costs and a narrowly scoped acceptance plan. A published case can justify an introduction; it cannot establish that your project will have the same result.

Sources, publisher and privacy

Case studies were checked on 31 October 2026. Company descriptions are provider self-reports; they were not independently audited. We do not reproduce numerical effect or accuracy claims. Our methods and acceptance checklists are editorial suggestions for buyers, not statements that a provider has agreed to deliver them.
